This page explains how to have your OperatorCompliance account and data deleted. It applies to the website, the OperatorCompliance Android app and the OperatorCompliance Driver app (both published by Fleeta Limited).
1. Who can ask
- Operator owners can delete the whole operator account (company workspace) including every vehicle, driver, document, check and report in it.
- Team members (transport managers, office staff) can ask us to delete their own user account. The operator's records stay with the operator.
- Drivers who were given a login to the Driver app by their operator can ask us to delete their user account and device registrations. Walkaround checks, defect reports and tachograph records belong to the operator's compliance file and are kept or deleted by the operator (see section 4).
2. How to request deletion
- From the website: send the request through our contact form with the subject "Account deletion", using the email address registered on the account.
- By email: write to hello@operatorcompliance.co.uk from the registered email address, with "Account deletion" in the subject line.
- Operator owners can cancel the subscription first under Settings → Plan & billing. Cancellation stops renewal but does not itself delete compliance records; send a deletion request using step 1 or 2 when you want the verified deletion process to begin.
We confirm the request by email to the registered address before deleting anything, so that nobody else can delete your account. If you no longer have access to that mailbox, tell us and we will verify you another way.
3. What is deleted
- Your user account: name, email address, phone number, password, language, two-factor settings, API tokens and push-notification device registrations (the app is signed out on all devices).
- For an operator deletion: the operator workspace and everything in it - vehicles, trailers, drivers, documents and photos, walkaround checks, alerts, tachograph files, reports, team members and invitations, integrations and settings.
- Backups: copies held in encrypted backups are overwritten within 35 days of the deletion.
4. What we must keep, and for how long
- Invoices and billing records: 7 years (UK tax law).
- Signed driver consent and mandate declarations: for the period required by the operator's approved DVLA arrangement and evidence needs, up to 7 years.
- Security and audit logs that reference your account: up to 24 months, without the personal details listed in section 3.
- Records that belong to an operator's compliance file (tachograph data, inspection and walkaround records): these are the operator's data. When a driver or team member leaves, the operator keeps those records for the periods required by DVSA guidance (at least 12 to 15 months); they are deleted when the operator deletes them or the operator account is deleted.
5. Timing
Deletion starts once the owner's request and the scope of records that may legally be deleted are confirmed, and is completed within 30 days (usually within 7 days). A cancelled or expired workspace is paused rather than automatically erased; contact us within 90 days if you need an export. The verified request above protects operators from accidental deletion and allows statutory records to be identified first.
